How we handle your information

This page explains what Amaya Realty Group Inc. ("Amaya Realty," "we," "us") collects when you use amayarealty.ca, apply for a rental, submit a tax intake, sign in at an in-person showing, or contact us — and what we do with it.
What we collect, and why
- Contact form. Name, email, phone, and your message — used only to reply to your inquiry.
- Rental application. Contact details, employment and income information, self-reported credit score, and the documents you upload (proof of employment, credit report, photo ID, and any other supporting files) — used to evaluate your application, including contacting your employer and running a credit/reference check with your consent.
- Tax intake form. Contact details, household/dependant information, and the tax documents you upload (T3/T4/T5 and similar slips, which contain your Social Insurance Number) — used solely to prepare and file your return.
- In-person kiosk sign-in. Name, email, and phone at a property showing — used to log the visit and, only if you opt in, to email you that property's details.
- Booking a consultation or tour. Handled directly by Calendly (see "Third parties" below) — we receive your name, email, and the appointment details.
Third parties that process your information
We keep this list short on purpose — these are the only outside services in the path of anything you submit to us.

Every form on this site — including the rental application and tax intake forms — is handled entirely by our own server; no third-party form service ever receives your information or documents.
How your information is transmitted and stored
Every form on this site submits over an encrypted (HTTPS) connection. Once received, rental application and tax intake submissions — including uploaded documents — are emailed directly to our staff inbox by our own server; we do not currently operate a separate encrypted document vault, so please treat email as email: don't send anything by a channel other than the forms and uploads provided here, and let us know if you'd prefer to hand documents over in person instead.
Property listing and availability data is not password-protected and should be treated as public. Application, tax, and visitor information is not public and is only accessible to Amaya Realty staff.
How long we keep it
We keep rental application and tax intake submissions for as long as reasonably needed to complete the service you requested and to meet our own record-keeping and legal obligations (tax preparation records, in particular, are generally kept for the period required by the CRA). Kiosk sign-in logs are retained for our own showing records. You can ask us to delete information we hold about you at any time — see "Your rights" below.
Your rights

- Ask us to delete information we no longer need to retain for legal or contractual reasons
- Withdraw consent for anything you previously opted into (e.g., the kiosk's property-details email)
